How to plan an office cleaning schedule in Oxfordshire

A useful office cleaning schedule follows how the building is used. A busy reception, a shared kitchen and an occasionally occupied meeting room rarely need the same attention. Before choosing a frequency, list your rooms, the number of people using them and the jobs that matter to your team.

Map the busiest spaces

Record employee numbers, visitor traffic, opening hours and any shifts. Include shared kitchens, washrooms, entrances and meeting rooms. Note whether people eat at desks and whether outdoor footwear brings soil into reception. This gives a cleaner a clearer picture than floor area alone and helps prioritise the most-used spaces.

Separate routine tasks from periodic work

Create three groups: tasks needed each cleaning visit, tasks reviewed weekly and occasional work agreed separately. Routine jobs might include bins, suitable floor care and agreed washroom surfaces. Detail work might cover reachable ledges and less-used rooms. Carpet cleaning and high-level work should have their own scope rather than quietly being added to a routine visit.

Agree access and desk boundaries

Decide whether cleaning happens before opening, during quieter periods or after the working day. Explain keys, alarms and areas that must remain secure. Agree what cleaners may move on desks and how confidential papers are handled. Ask colleagues to clear agreed surfaces so cleaning time is spent on the work rather than organising belongings.

Plan safe floor cleaning

Think about when floors will be wet and how people will move through the building. HSE advises planning cleaning at the right time and using suitable products and equipment to manage slip risks. Review the scope after the first visits

Ask whether recurring areas are being missed and whether the agreed time is realistic. Changes in occupancy or seasonal footfall may justify a revised schedule.
